1. Acceptance of Terms

By accessing or using CareNote ("the Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use the Service. CareNote is a cloud-based digital software (SaaS) for clinical practice management.

2. Description of Service

CareNote provides a web-based platform for healthcare professionals to manage patient records, clinical visit notes, treatment documentation, and payment tracking. The service is delivered digitally via web browser and does not involve any physical product.

3. Account Registration

To use CareNote, you must:

  • Create an account with a valid email address
  • Provide accurate and complete information
  • Maintain the security of your login credentials
  • Be at least 18 years of age
  • Be a licensed healthcare professional or authorized representative

You are responsible for all activity under your account.

4. Subscription & Payment

CareNote offers both free and paid subscription plans. Paid subscriptions are billed monthly through our payment processor, Paddle. By subscribing to a paid plan, you agree to:

  • Pay the applicable fees as displayed at the time of purchase
  • Automatic renewal unless cancelled before the billing date
  • Paddle's Buyer Terms and Conditions for payment processing

5. Refund Policy

We offer a 14-day free trial for new users. If you are unsatisfied with the paid service, you may request a refund within 14 days of your first payment. Refunds are processed through Paddle. After 14 days, payments are non-refundable but you may cancel your subscription at any time to prevent future charges.

6. Your Data

You retain full ownership of all data you enter into CareNote, including patient records, visit notes, and attachments. We do not claim any intellectual property rights over your data. You may export or delete your data at any time.

7. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose
  • Attempt to gain unauthorized access to other users' data
  • Upload malicious code, viruses, or harmful files
  • Resell, sublicense, or redistribute the Service
  • Use the Service in a manner that could damage or impair it

8. Service Availability

We strive to maintain 99.9% uptime but do not guarantee uninterrupted access. We may perform scheduled maintenance with advance notice. We are not liable for any downtime or service interruptions beyond our reasonable control.

9. Limitation of Liability

CareNote is provided "as is" without warranties of any kind. We are not liable for any indirect, incidental, or consequential damages arising from the use of the Service. Our total liability shall not exceed the amount paid by you in the preceding 12 months.

10. Termination

You may cancel your account at any time. We reserve the right to suspend or terminate accounts that violate these Terms. Upon termination, your data will be retained for 30 days to allow for export, after which it will be permanently deleted.

11. Changes to Terms

We may update these Terms from time to time. We will notify you of significant changes via email or an in-app notification. Continued use of the Service after changes constitutes acceptance of the updated Terms.
